# Home Loan Documentation: The Complete Checklist (and What Most Borrowers Miss)

A senior engineering director called us last quarter, frustrated. He had been preparing his home loan documents for two weeks. Each time he submitted them, the bank came back with another small request — Aadhaar address mismatch, salary slip not in standard format, PAN photocopy needed colour, missing co-applicant signature on one form.

His question to me was tired. *"Mangesh, is there a single complete list anywhere? I keep finding gaps."*

The honest answer is — there is no single complete list, because every bank's specific requirements vary slightly, and every property type has its own set. But there is a structured framework that catches 90% of the gaps.

This post is that framework. It is the same checklist we use internally before submitting any customer's file. **The cost of a missed document is not just delay — it is a loss of confidence with the underwriter, which can compound into other queries.**

## Why Documentation Matters More Than Borrowers Think

The home loan underwriter doesn't meet you. They see your file. The file is the entirety of how you are evaluated. A complete, well-organised file moves quickly. A scattered file with gaps gets queried, parked, and sometimes rejected for reasons that have nothing to do with your actual creditworthiness.

In our experience, **a well-organised file moves 30-40% faster through the bank's process than a scattered file with the same documents.** The cost of organising it properly is small. The cost of not organising it is real.

## The Three-Bucket Framework

Every home loan file is built from three stacks:

1. **Identity & Address** — proves who you are

2. **Income & Financials** — proves you can repay

3. **Property Documents** — proves the asset is clean

Banks will eventually ask for all three. Build them in this order before you walk into any branch.

## Bucket 1: Identity & Address Documents

The smallest stack and the easiest to get wrong.

### Mandatory for All Applicants

- **PAN Card** (mandatory, no substitute)

- **Aadhaar Card** (mandatory for KYC under current RBI norms)

- **Recent passport-size photographs** — 3 to 4 copies, taken within last 6 months

- **Address proof** — utility bill (electricity/gas) within last 2 months, OR rent agreement, OR property tax receipt, OR Aadhaar with current address

### Additional Photo Identity (One Required)

- Passport

- Driving License

- Voter ID

### Common Gaps to Watch For

**Aadhaar address mismatch.** If your Aadhaar shows your old address (parents' home, hostel, previous city) and you currently live elsewhere, this creates immediate friction. Either update Aadhaar to current address, or provide additional address proof showing current address.

**DOB inconsistency.** Sometimes PAN, Aadhaar, and ITR show different dates of birth. Banks won't process files with this. Get the corrections done before applying.

**Name spelling differences.** "Rajesh Kumar" on PAN, "Rajesh Kumar Sharma" on Aadhaar, "Rajesh K. Sharma" on bank statement — all need to be reconciled. A name affidavit is sometimes needed.

**Missing co-applicant documents.** If you are applying jointly, every co-applicant submits the complete identity + address documentation, not just yours. Most files get delayed because one co-applicant's set is missing.

## Bucket 2: Income & Financial Documents

This is where 80% of the work sits, and where most files get stuck.

### For Salaried Applicants

**Required:**

- **Last 3 months' salary slips** — bank-issued or company HR-stamped

- **Last 6 months' bank statements** of the salary account

- **Form 16 for last 2 years** (latest two assessment years)

- **ITR for last 2 years** with computation of income

- **Employment certificate** showing date of joining and current designation

- **PF statement** (helpful for stability proof, not always mandatory)

**Often Required for Larger Loans:**

- **Last 3 years of ITR** instead of 2

- **Variable pay / bonus history** — payslips or letters showing 24 months of consistency

- **Increment letters** (especially if a recent salary raise hasn't reflected in 3 months of statements yet)

- **Stock vesting and ESOP records** (for IT and product company employees)

**For NRIs and Foreign-Returnees:**

- **Foreign salary slips and W-2 / payslip equivalents**

- **Income tax returns from foreign country**

- **NRE / NRO account statements**

- **Documented evidence of repatriation to Indian accounts**

- **Power of attorney** if you cannot personally complete the application

### For Self-Employed Applicants

This is the heaviest documentation set. Plan for 2x the effort vs salaried.

**Required:**

- **ITR for last 3 years** with full computation, not just acknowledgement

- **Form 26AS and AIS** for the same 3 years

- **Audited Profit & Loss statement and Balance Sheet** for last 3 years (with CA's UDIN number)

- **Current year provisional financials** if applying after September of the financial year

- **6-12 months of bank statements** — both personal and business accounts, separately

- **GST returns for last 12 months** (if registered)

- **Business existence proof** — Gumasta, MSME registration, partnership deed, MOA/AOA, or other entity documents

**For Specific Entity Types:**

*Sole Proprietorship:*

- Gumasta / Shop & Establishment license

- GST registration

- Udyam (MSME) certificate

*Partnership Firm:*

- Partnership deed

- Registration certificate

- PAN of firm

*LLP:*

- LLP agreement

- Certificate of Incorporation

- Designated partner KYC

*Private Limited / Public Limited Company:*

- MOA, AOA

- Certificate of Incorporation

- CA/CS-certified list of directors and shareholders

- Shareholding pattern

**Additional for Professionals:**

- Doctors: Medical Council registration

- CAs: ICAI membership certificate

- Lawyers: Bar Council enrolment

- Architects: COA registration

### Common Gaps for Both Salaried and Self-Employed

**Bank statements without bank seal.** Self-printed PDFs from net banking are commonly rejected. Get them stamped at the branch, or download from net banking with an authentic header.

**ITR-V acknowledgement only.** Banks need the full ITR with all schedules, not just the acknowledgement page.

**Form 26AS / AIS missing.** These cross-verify your declared income against TDS records. Mismatches with ITR are a serious red flag.

**Mixed personal and business accounts** (for self-employed). Underwriters cannot make sense of muddled cash flow. Separate accounts at least 6 months before applying.

**Audited financials missing CA UDIN.** Post-2020, all CA-attested documents must carry a UDIN number. Auditors' reports without UDIN are no longer acceptable.

## Bucket 3: Property Documents

This is the bank's risk on the asset, not on you. Most of these come from the seller or builder, not from you. But you must collect and submit them.

### For an Under-Construction Builder Property

**Required:**

- **Allotment letter and Builder-Buyer Agreement (BBA)**

- **Approved plan** from the local development authority (BMC, MCGM, MMRDA, BDA, etc.)

- **Commencement Certificate (CC)**

- **Occupation Certificate (OC)** — when ready

- **RERA registration** of the project

- **Demand letter** from builder

- **Receipts of payments** already made to builder

- **NOC from builder** for mortgage

**Often Required:**

- Approved building plan

- Title clearance certificate from builder's lawyer

- Brochure showing project amenities and construction milestones

### For a Resale Property

**Required:**

- **Chain of title documents** — typically 30 years (this is the **Mother Deed** plus all subsequent sale deeds)

- **Latest sale deed**

- **Approved plan**

- **Occupation Certificate**

- **Property tax receipts** (last 3 years)

- **Society NOC** for transfer and mortgage

- **Share certificate** of the cooperative society (in cities like Mumbai, Pune)

- **Index II** (registration document)

- **Encumbrance certificate** showing no pending claims

**For Plot + Construction Loan:**

- All plot documents (sale deed, plan, conversion certificate)

- Approved building plan from architect

- Cost estimate from registered architect

- Stage-wise construction schedule

### Common Property-Side Gaps

**Society NOCs.** This is the single biggest cause of delay after sanction. Start the society NOC process the moment you sign the agreement, not after sanction.

**Old buildings without complete chain of title.** Buildings older than 25-30 years sometimes have gaps in the title chain. Banks typically need 30 years of clean documentation.

**Builder NOCs for under-construction.** Builders are often slow with these. Push them to issue the NOC promptly — your loan disbursement depends on it.

**Outstanding municipal dues** on the property. Get these cleared before loan disbursement. Banks won't fund properties with pending dues.

## Pre-Submission Checklist (90 Minutes)

Before you walk into any bank with your file, run this final check:

**1. All photocopies are clear and legible.** Not faded, not cut off, not blurred.

**2. All documents are self-attested.** Sign and date each photocopy.

**3. Aadhaar and current address match.** No mismatches.

**4. Name spellings are consistent.** Check across PAN, Aadhaar, bank statements, ITR.

**5. ITR set is complete.** Full computation + 26AS + AIS for each year.

**6. Bank statements have proper headers.** Either stamped at branch or downloaded with authentic bank header.

**7. Property documents are organised by date** (chronological chain of title).

**8. Co-applicant documents are complete and matching.**

**9. Form 16 / payslip totals match bank credits.** If they don't, prepare an explanation.

**10. Photographs are recent.** Within last 6 months.

## The Power of a Well-Organised File

This sounds basic, but it consistently pays off. Build a **single indexed PDF dossier** organised in the three-bucket order above. Number the pages. Add a one-page index at the front.

Why does this matter? Most underwriters in Indian banks are processing 30-40 files at a time. A clean, indexed file gets prioritised. A scattered file with documents in random order gets parked while the underwriter mentally tries to make sense of what's there.

We have seen the same documents — submitted as a clean indexed dossier vs as a stack of disorganised photocopies — yield 7-10 day faster sanction outcomes. This is one of those small operational disciplines that compounds.

## Documents That Get Asked Late (but Are Predictable)

These come up almost always at sanction or pre-disbursement stage. Have them ready upfront:

- **Salary account CIBIL pull authorisation** (for the bank to officially pull)

- **Loan agreement stamp duty** (varies by state, paid before disbursement)

- **CERSAI registration consent**

- **Insurance documents** (if you choose any insurance product, separate from the bundled one banks push)

- **Standing instruction (SI) for EMI auto-debit**

- **Original property documents** (to be lodged with the bank as collateral after disbursement)

Knowing about these in advance saves the panicked "I need this by tomorrow" calls right before disbursement.

## What Most Banks Don't Tell You Upfront

A few things that are real but rarely volunteered:

**1. Banks check your reference list.** The application form asks for 2-3 references. Banks may actually call them, especially for self-employed files. Inform your references they may get a verification call.

**2. Workplace verification visit.** Some banks send a representative to your office to verify employment. Inform your HR if you don't want a surprise visit.

**3. Residence verification visit.** A field agent may visit your declared residential address. Make sure someone is home or that there is signage / nameplate identifying you.

**4. Property visit.** A bank-empanelled valuer will physically inspect the property. Coordinate with the seller or builder for access.

**5. Telephonic verification.** Banks may call you and the co-applicants to verbally confirm details. Answer these calls — missing them delays the file.

The 90 minutes you spend organising the file before submission are some of the most productive minutes in the entire home loan journey.
